Policies & Terms

Below you’ll find a comprehensive policy outline designed to reflect common professional standards.

Policy

1. Booking & Payment
  • Retainer & Confirmation: To secure your session date, a 50% non-refundable retainer is required at the time of booking. Your booking is confirmed once the retainer is received.

  • Balance Due: Any balance due will take 1-2 days to process and will be agreed on contract.

  • Late Bookings: Sessions booked less than 7 days before the shoot date may require full payment upfront. Bookings made on extremely short notice (e.g., 24 hours or less) may incur an additional surcharge over the full payment.

2. Cancellations & Rescheduling
  • Cancellations 15+ Days in Advance: If you cancel 15 days or more before the shoot date, you may receive a full refund of any amount paid beyond any work done. There might be some retainer fees and various work done (planning and research) that remain non-refundable.

  • Cancellations Less Than 15 Days: For cancellations made less than 15 days before the shoot date, the entire 50% retainer is forfeited.

  • Rescheduling: You may reschedule once without penalty if requested at least 15 days before the shoot date, subject to availability. Subsequent changes or rescheduling requests made less than 15 days before the shoot may incur an additional fee.

  • Force Majeure: In the unlikely event that the photographer must cancel due to illness, emergency, or circumstances beyond their control, every effort will be made to reschedule at no extra cost. If rescheduling isn’t possible, a full refund (including the retainer) will be issued, minus various work already done eg.: Planning, Research, edits, etc.

3. Session & Coverage
  • Shoot Duration & Locations: Session times, locations, and scope of work will be agreed upon in advance. Any additional coverage requested during the shoot may be subject to extra fees. Usually mentioned beforehand is pay pro-rata so an equal amount of payment per work done but depending on the project might be more.

  • Studio & Venue Costs: Studio hire, permit fees, or special location costs are not included in the base rate unless explicitly stated. Such expenses will be communicated and must be agreed upon prior to booking.

4. Image & Video Delivery
  • Editing & Retouching: All delivered images/video will undergo basic editing (color correction, exposure adjustment). Advanced retouching may be available at an additional fee.

  • Delivery Timeline: Standard delivery times vary by project scope. Typical delivery for photos is within 7–14 business days; for video, 10–21 business days. Any expedited delivery requests should be made in advance and may incur an additional charge.

  • File Format & Delivery Method: Final images are typically delivered as high-resolution JPEG files via a secure online gallery or download link. Video projects will be delivered in common high-resolution digital formats. Raw files are not routinely provided and have additional fees.

5. Revisions & Additional Requests
  • Minor Revisions: One round of minor edits (e.g., slight color adjustments, simple cropping changes) is typically included. More extensive revisions or additional rounds of edits may incur extra fees.

  • Change of Scope: Significant changes to the original brief or additional services requested after the shoot may be subject to revised estimates and added costs. Expectations will be set before shooting to ensure the product is the desired one.

6. Usage Rights & Licensing
  • Client Usage: Clients receive a license for personal or commercial use as agreed upon at booking. The specifics of usage rights will be outlined in the contract, ensuring clarity on where and how images or videos can be used.

  • Photographer’s Portfolio: Unless otherwise stated in writing, the photographer reserves the right to use selected images or video excerpts for promotional, portfolio, or marketing purposes, including websites and social media. Exclusivity of copyrights from the Client might incur additional fees as part of my marketing strategy is to upload my work online.

7. Travel & Additional Expenses
  • Travel Fees: Shoots taking place outside Central London or beyond agreed-upon travel zones may incur travel charges. All such costs will be discussed and agreed upon beforehand.

  • Additional Costs: Any extra expenses (special equipment, props, models, permits) must be approved by the client in advance.

8. Liability & Backups
  • Liability Limits: In the event of technical issues, data loss, or unforeseen circumstances, the photographer’s liability is limited to any fees already paid. If a full refund is issued, no work will be transferred. If partial work has been delivered, the Client agrees to pay pro rata for the delivered portion. (This never happened yet in 5 years so lets not jinx it!)

  • Backups: The photographer will maintain backups of edited images and footage for a limited period after delivery. The client is responsible for safely storing and backing up all delivered files. Files must be downloaded within the timeframe agreed with me or the photographers/collaborators, usually within one month for photography in private link and two weeks for videos in the cloud.

9. Professional Conduct & Communication
  • Standards & Punctuality: The photographer will adhere to professional standards, punctuality, and respect throughout the project. Open communication is encouraged to ensure client satisfaction.

  • Client Cooperation: Clients should provide any necessary information, shot lists, or creative direction in advance. Timely feedback on proofs and edits helps ensure a smooth and efficient process.
